Product Theater Opportunities

AAPP is pleased to offer your company an opportunity to present new research findings on products, give product details, give demonstrations, and highlight new products to a key audience. These sessions are promotional and are not eligible for continuing education contact hours. Product Theaters must be delivered by company-designated speaker(s). All programs must be in compliance with federal and state laws that regulate the marketing and promotion of reimbursable healthcare products.

Specific time slots have been designated for product theaters or symposia Sunday through Tuesday of the meeting and are available for qualified and accepted proposals. No AAPP programming occurs during these times other than, possibly, small community events. Attendance at product theaters varies and is dependent on the topic, speakers, and the time slot selected as noted below. These sessions are promotional and are not eligible for continuing education contact hours. Product Theaters must be delivered by company-designated speaker(s). Product theater slots can be no longer than 1 hour and the time block below would be adjusted accordingly. Industry symposia with grant support receive first priorit and will be accepted upon receipt of the application and grant acceptance documentation while product theater slots will be awarded after January 16, 2023. Product Theater Fees Include

• Dedicated event page with full descriptor at aapp.org/2023 as well as inclusion in the interactive online conference schedule
• Inclusion in the printed conference program schedule and in verbal announcements
• Listings within AAPP's monthly electronic registrant and membership e-blasts
• On-site signage
• One-time use of registrant mailing list for invitation issuance only
• Meeting room and set-up at the Hyatt Regency Atlanta
• Registration desk outside the industry event room
• Access to a speaker ready room
• QR coded badges for your efficient scanning of attendee badges via cell phone
• Appropriate meal service for the event paid for and arranged by AAPP (breakfast for up to 100 attendees, lunch for up to 200 attendees, or break service for up to 100 attendees)
• Live stream of the in-person event to virtual participants logged into the AAPP web site with a free or AAPP member user account. The live stream will consist of the content appearing on the projector screen as well as the audio. It will not include any interactive elements for virtual participants
• Virtual participant list (name, credentials, city, state) is provided within 2 weeks after AAPP 2023
• MP4 recording of the live stream is provided within 2 weeks after AAPP 2023
• All audiovisual, streaming, and staging to include:
  • 7,140 square foot ballroom set banquet style for up to 300
  • Floor to ceiling black drapery behind the stage
  • One (1) 24’ (W) x 12’ (D) stage riser with a head table for three and a podium
  • One (1) Projector and Dress Kit, 7k lumens
  • Seven (7) Speakers
  • One (1) Podium microphone
  • Two (2) Wireless microphones
  • Stage lighting package and LED up-lighting package
  • One speaker timer, presentation remote, confidence monitor
  • AAPP's complimentary wireless internet access (lower bandwidth)
  • All equipment and services for streaming via aapp.org/2023
  • Individualized Zoom identification link allowing promotion to invitees by provider in addition to AAPP marketing
  • Services of advanced audiovisual service provider and technician (2 total contractors for on-site management and streaming)

Product Theater Guidelines

• Product Theater applications must be reviewed and approved by AAPP to ensure information is suitable for conference attendees.
• Due to streaming, meal service will be limited to the first 15 minutes of the time slot and programming must begin promptly at the scheduled time.
• Regardless of the time slot, product theaters are limited to 1 hour in length. If a 1.5-hour slot is awarded to a product theater, the schedule will be adjusted accordingly.
• Responsibility for developing and implementing each symposium or product theater on-site is the responsibility of the provider.
• No competing events are held during satellite symposia or product theaters, with the exception of the Monday and Tuesday breakfast slots when a limited audience community meeting may be offered.
• AAPP will arrange appropriate meal service to include the following: breakfast for up to 100 attendees, lunch for up to 200 attendees, or break service for up to 100 attendees. Meal selections are made by AAPP and communicated to the provider in their confirmation document.
• AAPP will assign one dedicated meeting room to symposia and product theaters. This room will be set banquet style (rounds) for up to 350 attendees.
• With the use of one dedicated meeting room for all symposia and product theaters and a tight schedule, a standard room set and audiovisual and streaming package are required and are included in the fee.
• Symposia and product theater providers must use AAPP’s preferred audiovisual provider for additional equipment and services at the provider's expense and as coordinated by the provider.
• A speaker ready room is provided.
• In-person attendance must be open to all AAPP Annual Meeting attendees and is only available to individuals registered for the AAPP Annual Meeting.
• Live streaming of the event (audio and event screen/presentation) will be provided by AAPP. Virtual attendance at industry events is open to anyone, including those not registered for AAPP 2023, but it does require creation of a free account to access the stream real-time on aapp.org.
• If Audience Response System (ARS) usage is desired for the event, the cost and coordination is the responsibility of the supporting organization/coordinator. With live streaming to virtual learners, use of an online ARS platform is encouraged with usage instructions detailed in the presentation. The ARS will not be embedded in aapp.org.
• Speakers for the symposium or product theater must be paid registrants to the Annual Meeting for at least the day of the event if they wish to attend other AAPP events.
• The provider's on-site staff is not required to be registered for the Annual Meeting unless they wish to attend other AAPP events. AAPP does require the provider submit the names of on-site staff.
• Speakers and coordinating staff must be vaccinated for COVID-19 and agree to abide by all related AAPP Annual Meeting requirements related to COVID protections and all aspects of the Annual Meeting.
• The full AAPP fee is due within 30 days after slot confirmation.
• Multiple uses of the same speakers between events is discouraged. AAPP must approve speakers as a result.

All external continuing education programming intended for AAPP members attending this conference must be submitted to AAPP through the satellite symposia or product theater option. No outside events can be held at or in conjunction with AAPP’s Annual Meeting without review and approval from AAPP.

AAPP 2023 will require all attendees and speakers to be COVID vaccinated. AAPP intends to be live in Atlanta but the everevolving COVID pandemic will be closely monitored and, if absolutely necessary, all attendees, product theaters, and symposia will be converted to a virtual offering. Other sponsorships would be refunded in full or transferred to AAPP 2024 in Orlando.
