General Meeting Information
All programming for the 2026 AAPP Annual Meeting will be held at the Hyatt Regency Bellevue on Seattle's Eastside, located at 900 Bellevue Way NE, Bellevue, Washington, 98004. Attendees may choose to attend in-person or virtually. All schedule times are in Pacific Time. View the full Annual Meeting schedule and the overview of industry events.
Deadlines and Fees
What are the key deadlines?
- Within 30 days of slot confirmation: The full AAPP fee for your event is due. Please refer to the invoice sent in your confirmation email. If you have any concerns or cannot locate the original email, contact AAPP staff.
- By March 6: Confirm additional AV with Crescent Event Productions to receive the 50% discount. After March 6, the discount decreases to 25%.
- March 19: Early registration ends, after which rates increase; be sure to register if wish to attend other AAPP events/programming.
- March 23: Pre-registrant mailing list made available to symposium and showcase providers for promotion (one-time use of registrant mailing list for invitation issuance only).
- March 26: AAPP Hyatt Regency room block expires; reserve your room ahead of time.
- Within 2 weeks after AAPP 2026: The recording of your live stream and badge scan report will be provided to you.
What if we need to withdraw or change our program?
- Changes to your program title or schedule must be made in writing and sent to AAPP Staff. A withdrawal must also be made in writing and will not be accepted unless written notification of such withdrawal has been received by AAPP.
- Withdrawing a symposium or showcase from the AAPP Annual Meeting will require payment of the following:
- Before or on February 18: 50% of full fee will be retained in the event of a cancellation
- February 19-March 18: 75% of full fee will be retained in the event of a cancellation
- March 19-April 22: 100% of full fee will be retained in the event of a cancellation. AAPP may also require payment for any hotel or convention center cancellation charges as liquidated damages for any provider who withdraws.
- The holding of these events is subject to any circumstances making it illegal or impossible to provide or use hotel, including Acts of God, war, government regulations, pandemic, disaster, terroristic acts, strikes, civil disorder, or curtailment of transportation facilities. For any of these reasons, either party may, with written notification, cancel the symposium or meeting. In such a situation, the refund of fees paid or due shall be at the discretion of AAPP.

Who are the key contacts?

- For any needs related to the audiovisual equipment, internet and rigging, or hotel, contact AAPP staff who will assist in coordinating with the respective vendor.
Do I, my colleagues, and speakers need to register for AAPP 2026?
- A person only needs to register for the meeting if they would like to attend any other event and/or programming outside of your showcase/symposium.
- Check AAPP's registration page for more details on rates.
What are the hotel room block details?
- AAPP daily lodging rate: $245 + taxes/fees. Room block expires Mar 26, 2026 (or when full).

How do I ship materials to the hotel?
Any materials being sent to the Hyatt Regency must be marked as follows:ATTN: YOUR NAME & Hold for Arrival (date)

*If you are planning to ship materials to the hotel, please ensure that your materials arrive no more than 3 days before the meeting date. Shipping and handling fees will apply. Note from hotel - packages shipped via USPS will take about a week after delivery to the post office to arrive on site. We highly discourage shipping via USPS.
Are there competing events during my slot?
- AAPP strives to limit overlaps, but small, limited‑attendance gatherings may occasionally coincide.
Who handles ACPE accreditation for symposia?
- You (or your contractor) must arrange ACPE credit with an accredited provider.
- If you would like to contract for AAPP to be your accredited provider, please contact AAPP Staff.
Where can I review all of the sponsorship opportunities still available for AAPP 2026?
- A list of annual meeting sponsorship opportunities can be found on our sponsorships page.
Are there code of conduct or security requirements?
- For security purposes, AAPP does require that the provider submit the names of on-site staff. Please let us know who from your team will be joining us on-site for your event. This list should include anyone that is working directly on the event (e.g., from the company or from the third-party company you are working with). This list of names can be sent directly to AAPP staff.
- All guests/attendees are required to adhere to AAPP’s Code of Conduct.
Event Basics and Schedule
Where are industry events held and what’s the format?
- All showcases and symposia take place in the Regency Ballroom (Level 2) at the Hyatt Regency Bellevue, set in a banquet/theater mix with full audiovisual. Attendee flow is designed to be efficient, with natural queuing outside the room.
What other considerations need to be made for speaker selections and program development?
- Speakers must be approved by AAPP.
- Multiple uses of the same speaker(s) between events is discouraged. Selection of qualified, diverse speakers is requested as AAPP continually strives to offer a diverse and inclusive event.
- Developing and implementing each symposium or showcase on-site is the responsibility of the provider or their designated vendor.
- For symposia specifically, an AAPP member must serve as program chair/speaker; selections require AAPP approval. The program chair/speaker may be the same person or two individuals; Chairs peer‑review and co‑develop content tailored for psychiatric pharmacists.
What are the dates, times, and attendance guarantees?
- In-person attendance must be open to all AAPP Annual Meeting attendees and is only available to individuals registered for the AAPP Annual Meeting.
- The in-person attendance varies for each of the industry event slots, therefore, AAPP builds our estimates on attendance from the prior year’s Annual Meeting. Attendance numbers are estimates and not guarantees (refer to the bottom of page 8 of our Prospectus).
- Programming is limited to 60 minutes.

When can providers access and depart the event room?
Each provider will have a specific entry and exit time into the Regency Ballroom as noted in the below schedule. Questions regarding these times can be directed to AAPP staff. Meeting rooms will be locked after AAPP sessions conclude for the day so “after hours” access needs to be coordinated with the Hyatt Regency staff contact with a carbon to AAPP staff.| Event Slot | Entry into Event Room | Departure from Event Room |

What’s the room layout and capacity?
- The Regency Ballroom is ~5,850 sq. ft., set in banquet rounds/theater seating for up to 350. Contact AAPP Staff if you would like a copy of the room diagram.
- With the use of one dedicated meeting room for all symposia and showcases and a tight schedule, a standard room set, audiovisual, and streaming package are required and included in the event fee.
Livestream and Recording
Who can access the industry event live stream?
- Live streaming of the event (audio and event screen/presentation) will be provided by AAPP.
- Virtual attendance at industry events is open to anyone, including those not registered for AAPP 2026, but it requires creation of a free account to access the stream real-time on aapp.org.
- The live stream of all AAPP 2026 industry events is promoted and available to anyone with a free AAPP account.
- You are encouraged to market the live stream as well.
- In-person attendees will also have access to the livestream of your event(s).
When will I receive my event recording?
- The recording will be sent to you within 2 weeks after AAPP 2026.
Meals and Service
Who provides the meals for the event?
- All meals at AAPP 2026, including for industry events, are provided by AAPP.
- Attendees will receive communications about industry events and meals through all registrant communications and via web pages. This will repeat that industry event meals are limited and provided by AAPP as part of their registration fee.
Are meal substitutions available?
- Meal substitutions are not available (this excludes vegetarian meal substitutions).
Does meal service continue during the program?
- Due to streaming, meal service will be limited to the first 15 minutes of the time slot and programming must begin promptly at the scheduled time.
- If an attendee arrives a few minutes late, and there are still meals available, hotel staff will serve that person.
- Hotel staff will be instructed to minimize noise, and plates will not be cleared once the programming begins.
What can I expect for the breakfast meal?
- The breakfast buffet will be available during the designated meal service time on the schedule.
- Breakfast is served continental style with buffet tables set outside or inside of the conference room (table placement at discretion of hotel).
- If buffet tables are placed directly outside the conference room, allowing participants to go through the food lines before entering, we recommend stationing an individual from your staff or temp staff near the buffet line to scan badges as needed/desired.
What can I expect for the lunch meal?
- Plated lunches will be served only at the banquet round tables during the 15 minutes designated for meal service on the schedule.
- Attendees beyond the plated lunch counts have the option to sit in the provided theater seating at the back of the room, or they may utilize the livestream option and have lunch elsewhere.
What can I expect for the refreshment break?
- Light snacks and beverages will be placed at the back of the conference room and/or directly outside of the conference room for access by attendees.
Attendee Badge Check-In
Does AAPP provide badge/QR scanners?
- No. Providers must bring a scanner or use a smartphone app (e.g., downloaded from Apple App Store/Google Play). Ensure your staff are trained ahead of time.
- Attendee badges contain a QR code on the front for scanning/check-in purposes.
Are scanning badges required?
- No, it is at your discretion as the provider if you choose to scan attendee badges upon entry into your event.
If I choose to scan attendee badges, what do I do with the scans afterwards?
- Email the scans to AAPP staff and within 2 weeks a report will be returned to you.
Promotion and Signage
Does AAPP promote the event?
Yes. AAPP conducts the following promotion:- Dedicated event page with full descriptor at AAPP Annual Meeting 2026 as well as inclusion in the interactive online conference schedule
- Listings within AAPP's monthly electronic registrant and membership e-blasts
- On-site signage outside Regency Ballroom and in the Hyatt Regency Foyers, and inclusion in on-site announcements
Can we conduct additional promotion of the event?
AAPP provides considerable promotion of your event as described above. However, if you choose to also conduct promotion, please follow the below instructions:Should you plan a marketing campaign, AAPP requests the opportunity to approve brochures or fliers prepared by the provider and a final electronic and hard copy for our records.
When promoting the showcase or symposium, you may not use the AAPP logo or the name of AAPP as a co-sponsor of the presentation unless AAPP is contracted to provide ACPE credit for symposia and is thus a joint provider. The only phrase that may be used is: “To be conducted at the AAPP 2026 Annual Meeting.”
AAPP requires a hard copy of the symposium or showcase program books and electronic copies of attendee lists (symposia only), evaluation forms and summaries (symposia only), and other documents related to each symposium and showcase for our permanent reference and storage.
What signage is provide for the event?
AAPP will provide promotional symposia and showcase signage in the Hyatt Regency foyers. AAPP will also provide directional signage to guide attendees to the provided event room.
Each provider may have 1-2 promotional signs for each event. One can be placed directly outside of the industry event room on the day of the event only and the other promotional sign placed in the AAPP registration area the day prior to and the day of the event. The event venue will provide easels. These signs will be on separate event levels, and signage placement in these areas is at the discretion of AAPP.
Are there size restrictions for the signage/a particular type that should be used?
AAPP does not have signage size restrictions for the provider. However, note that it is the provider's responsibility to bring or ship their own event signage (to and from hotel).
The hotel will provide easels, and your sign can be placed on these. If opting to use an easel, consider signs that are in the following sizes:
28 in. x 44 in.
22 in. x 28 in.
Alternatively, you as the provider have the discretion to bring larger signs that stand on their own (e.g., pull-up banner, meter board with stand).
AAPP will discard any signage left at your event.
What AAPP Provides and Upgrades
What does AAPP provide for my event?
The use of one dedicated room for all symposia and showcases at the Hyatt Regency. A standard room set-up is required, and the room diagram is available from AAPP staff upon request.
Registration desk outside the industry event room
- Dedicated event page with full descriptor at AAPP Annual Meeting 2026 as well as inclusion in the interactive online conference schedule
- Listings within AAPP's monthly electronic registrant and membership e-blasts
- On-site signage outside Regency Ballroom and in the Hyatt Regency Foyers, and inclusion in on-site announcements
- QR coded badges for your efficient scanning of attendee badges
- Appropriate meal service for the event paid for and arranged by AAPP
- Live stream of the in-person event to virtual participants logged into the AAPP website with a free or member account. The live stream will consist of the presentation and the audio. It will not include any interactive elements for virtual participants. Providers are not allowed to livestream separately. Live stream recording will be provided to you within 2 weeks.
What A/V, streaming, and staging is included?
Your event includes the following:- 5,850 square foot ballroom set in a banquet/theater mix for up to 350
- Black drapery behind the stage
- Stage riser with a cafe table, 2 chairs, and a podium
- One projector (8.5k lumens), screen, and dress kit
- Audio package, including speakers, podium microphone, and 2 wireless microphones
- Stage lighting package
- One speaker timer, presentation remote, confidence monitor
- Pro Record package
- AAPP's complimentary wireless internet access (lower bandwidth)
- All equipment and services for streaming via aapp.org/2026
- Individualized link allowing promotion to external invitees by provider in addition to AAPP marketing
- Services of advanced audiovisual service provider and technician for AAPP-provided equipment
Are audiovisual equipment upgrades available?
AAPP provides a comprehensive audiovisual package as noted above. If you need additional or alternative AV services, arrangements must be made through AAPP’s provider, Crescent Event Productions, and AAPP Staff should be kept informed. Any upgrades or extra equipment beyond what AAPP supplies are the responsibility of the provider and must be coordinated with Crescent. See the deadlines section above regarding discounts. All AV payments are at your expense as the provider and are due in full to Crescent when services are contracted. Emergency streaming of a speaker is also at provider's expense. Are internet upgrades and rigging available?
AAPP provides complimentary wireless internet in all contracted meeting rooms at the Hyatt Regency, including the industry event room. If you need increased bandwidth or dedicated (hard-wired) internet access to support presentations during your event or additional rigging for any preferred staging, arrangements must be made through Hyatt Regency provider, Encore. Any additional internet services or rigging beyond what AAPP provides are the responsibility of the provider. For questions or to explore upgrade options, contact AAPP Staff to connect with Encore.
Provider Responsibilities
Does the speaker need to be on-site for the event?
- Yes. AAPP requires that selected speakers be on-site at the annual meeting.
- We ask that streaming of speakers only be arranged in event of emergencies. Any additional audiovisual expenses to stream a speaker into the event due to their inability to present in-person will be at the expense of the provider.
Am I required to check-in or track attendance at my event?
- No. AAPP utilizes scannable badges for your ease in registering attendees if you choose to do so. Please note that this is not required by AAPP and is at your discretion. See the "Attendee Badge Check-In" section above for more details.
- Additionally, while we do allow for names of your event attendees to be captured, the Physician Payment Sunshine Act does not apply to AAPP 2026 events, and no reporting should occur.
Additional Requirements and Notes
Can I use polling features/audience response systems?
- If Audience Response System (ARS) usage is desired for the event, the cost and coordination is the responsibility of the supporting organization/coordinator.
- With live streaming to virtual learners, use of an online ARS platform is encouraged with usage instructions detailed in the presentation. The ARS will not be embedded in aapp.org.
- Engaging the audience through active learning polling is encouraged for both virtual and in-person attendees. The polling program and any additional A/V set-up is at the discretion and responsibility of the provider.
